Job Purpose
The Business Support Assistant (Aviation) will provide essential operational support to WFP's aviation activities at the field level. This role is crucial for ensuring the smooth and safe execution of aircraft operations, including passenger and cargo handling, flight administration, and safety oversight. The incumbent will manage flight-related documentation, coordinate logistics, and maintain communication with relevant stakeholders and air traffic control. Responsibilities extend to passenger check-in, cargo loading supervision, fuel monitoring, and ensuring adherence to aviation security and safety protocols. The Business Support Assistant will also be responsible for reporting, data management, and maintaining aviation-related information resources, acting as a key support to the Aviation Associate and Officer, and potentially deputizing in their absence.
Responsibilities
The Business Support Assistant plays a crucial role in supporting aviation operations within the World Food Programme (WFP). This position involves providing comprehensive assistance at the field level, encompassing aircraft operations, passenger and cargo handling, and ensuring safety and security protocols are met. Key responsibilities include managing flight-related documentation, such as passenger manifests, and ensuring timely check-in procedures. The assistant must maintain vigilance over aviation sites, monitor weather conditions, and compile essential statistics and reports. They are also responsible for coordinating cargo loading, communicating flight updates to agencies, and overseeing aircraft refuelling processes, ensuring adherence to safety standards and proper invoicing. Furthermore, the role demands meticulous administrative duties, including comprehensive filing of flight data and maintaining updated aviation directives. A significant aspect of the job involves enforcing aviation security (AVSEC) measures, such as inspecting passengers and cargo, and liaising with local authorities. Safety is paramount, requiring constant attention to ramp safety, ensuring the availability of fire extinguishers, maintaining a Foreign Object Debris (FOD)-free environment, and controlling personnel on the ramp. The assistant must also conduct thorough inspections of cargo and baggage to prevent the transport of prohibited items and ensure all safety procedures are followed in the vicinity of aircraft.
Work Experience
Requires a minimum of 4 years of experience in the aviation industry or in passenger and cargo transportation. Fluency in English (level C) and proficiency in local languages (Pashto/Dari) for oral and written communication are also necessary.
