Job Purpose
The Business Support Assistant will provide essential administrative and financial support to the Finance Unit in Jerusalem, ensuring the efficient execution of routine operational processes. This role is crucial for maintaining accurate financial records, supporting payment processing, managing documentation, and contributing to timely reporting and audit readiness. The incumbent will assist in maintaining organized filing systems, processing invoices and receipts, and ensuring data accuracy within financial systems. By responding to routine queries and escalating complex issues, the Business Support Assistant plays a key part in delivering high-quality business support services, thereby contributing to WFP's mission of saving lives and changing lives in Palestine.
Responsibilities
The Business Support Assistant provides comprehensive administrative and finance support, ensuring the efficient implementation of routine operational processes and the delivery of high-quality business services. Key responsibilities include supporting various administrative and financial tasks for effective resource management. A core duty is meticulous document management, involving maintaining organized filing systems and standard records to ensure information accuracy, accessibility, and immediate availability. This includes reviewing and updating registers, reference numbers, and related documentation, as well as scanning, filing, and archiving critical documents like invoices, receipts, and contracts in both digital and physical systems. The position also encompasses significant payment processing responsibilities, such as printing cheques, verifying documentation completeness, and accurately uploading payments into the relevant system while maintaining precise supporting records. The assistant collects supplier information, assists with zero VAT requests, and proactively identifies and escalates routine discrepancies in records. Additional duties involve gathering information for reports, drafting documents, and routine business correspondence. Crucially, the role supports audit processes by compiling and organizing relevant files and documentation, and responds to routine queries promptly and client-orientedly, escalating more complex matters as needed.
Work Experience
Requires four or more years of progressive work experience in the relevant business stream, including general administrative work. Proficiency in office equipment and software like Microsoft Word is necessary. The role demands knowledge of work routines for independent task completion, strong analytical and organizational skills, attention to detail, and the ability to work both independently and collaboratively. Experience with financial management systems and Excel for data analysis is also required.
