Organizational Context
This Programme Assistant volunteer position is based in the WFP Tanzania Country Office in Dar es Salaam. The role supports Activities 1 and 2, reporting to the SO1 Activity Manager. It requires close collaboration with Budget and Programming, Finance, RAM, and Supply Chain units, ensuring accurate information and consistent programme implementation.
Job Purpose
The Programme Assistant volunteer will provide essential administrative and programmatic support to the Activity 1 and 2 Managers. This role is crucial for ensuring the timely and accurate reporting, effective data management, and basic analysis that underpin the smooth implementation of programme activities. By assisting with coordination, data collection, report preparation, and communication with internal and external stakeholders, the incumbent will contribute directly to informed decision-making and the overall success of WFP's operations in Tanzania. Responsibilities
The Programme Assistant role involves providing comprehensive backstopping support for specific activities, ensuring deadlines are met and implementation is smooth. This includes coordinating meetings, workshops, and trainings, which entails preparing materials, communicating with participants, and processing payments. A key responsibility is assisting with data management, including collection, entry, analysis, and the preparation of reports and summaries. The role also requires arranging meetings, creating agendas, and meticulously documenting minutes, followed by tracking action points to ensure timely task completion. Contributions to corporate and programme reports, through drafting inputs and organizing documentation, are essential. Furthermore, the assistant will maintain organized electronic and physical filing systems, offer general administrative support for daily office operations, and coordinate with internal functions like Supply Chain and Budget and Programming to support programme operations. Facilitating communication and operational activities with external partners, including local partners, agencies, NGOs, and government counterparts, is also a significant part of the role, alongside supporting additional programme tasks as needed.
Work Experience
No formal work experience is required. However, prior exposure through internships, volunteering, or university projects is desirable in areas such as administrative or program support, data collection/entry, report drafting, or working with NGOs/community initiatives. This experience should demonstrate teamwork and organizational skills.
