Job Purpose

The Senior Supply Chain Assistant will provide specialized support to logistics and procurement operations, adhering to WFP's standard norms and processes. This role is crucial for the efficient and effective supply of food assistance to beneficiaries. The incumbent will independently handle inquiries and issues, demonstrating initiative and sound judgment in resolving unforeseen daily challenges. Key responsibilities include coordinating product and supply requests, managing inventory of food and non-food items, overseeing logistics service providers, and ensuring timely deliveries. Additionally, the role involves supporting transport coordination, distribution activities, identifying and vetting new suppliers, and assisting with supplier and partner training to enhance operational efficiency and beneficiary purchasing power.

Responsibilities

The role involves comprehensive logistics management, ensuring timely delivery of products and supplies to authorized destinations. Key responsibilities include meticulous inventory control of food and non-food items stored by third-party providers, adhering to WFP regulations to facilitate rapid project support, even during emergencies. This includes coordinating with logistics service providers to guarantee adequate staffing, equipment, and resources for efficient warehouse operations. Accurate record-keeping of inventory movements in the corporate LESS system is crucial for maintaining reliable data and proper documentation archiving. The position also requires verifying that logistics providers comply with WFP's safety and security guidelines, ensuring all assets are stored appropriately and that pest management protocols are followed to prevent food damage. Furthermore, the role supports transportation coordination from field offices and assists in the coordination of deliveries and distributions. A significant aspect involves identifying and vetting new suppliers for procurement and integral logistics services, such as transportation and storage, and compiling necessary documentation for selection. This includes requesting and validating supplier documents for shortlisting, supporting supplier training to enhance service delivery, and training implementing partners and points of sale on logistics management, including reception, storage, and distribution of goods. Monitoring points of sale and conducting price analyses to ensure local market alignment is also a responsibility, aiming to enhance beneficiary purchasing power.

Work Experience

Requires a minimum of five years of progressive administrative experience. This must include at least three years in local procurement of goods and services, or in logistics operations such as transportation, inventory management, and contracting of logistics services.
