Job Purpose
The Fuel Management Assistant (SC4) plays a crucial operational role within WFP's Supply Chain function in Haiti. This position is responsible for supporting the safe, efficient, and transparent management of fuel operations across various sites. The core objective is to ensure accurate reception, secure storage, authorized distribution, and meticulous record-keeping of fuel. The incumbent will contribute to maintaining accountability, operational continuity, and compliance with WFP's procedures, internal controls, and audit requirements. This role is vital for ensuring the reliable supply of fuel, which is essential for WFP's transportation, energy production, and partner activities in Haiti.
Responsibilities
The Fuel Assistant (SC4) is crucial for the WFP's fuel site operations, ensuring accurate and compliant management of fuel reception, storage, distribution, and record-keeping. This role directly supports operational transparency, data accuracy, and adherence to WFP procedures. Key responsibilities include assisting with the physical reception of fuel deliveries, verifying quantities and quality against delivery documents, and distributing fuel to authorized vehicles, generators, and partners using valid fuel orders. Safety protocols during fuel handling are paramount. The assistant must perform daily tank gauge readings (morning and evening), meticulously record all transactions in the official fuel logbook, and ensure all required fields are accurately completed. Daily records and supporting documents are submitted to the Fuel Operations Supervisor for verification and system entry. Furthermore, the role involves supporting physical stock checks, participating in internal audits and inspections, and assisting with monthly fuel reconciliation processes, including variance analysis and documentation preparation. Maintaining organized records for audits is essential. The Fuel Assistant is responsible for consistent and accurate daily reporting of all fuel transactions, timely submission of documents for data entry and reconciliation, and strict compliance with WFP Standard Operating Procedures (SOPs), internal controls, and safety standards.
Work Experience
Requires a minimum of 4 years of relevant experience in logistics operations, warehousing, fuel handling, record-keeping, stock monitoring, or inventory control. Prior experience in fuel operations or handling hazardous materials is highly desired. Experience applying Standard Operating Procedures (SOPs) and compliance frameworks is advantageous.
