Job Purpose
The WFP Volunteer - Management Services role is designed to provide essential support to staff by managing routine administrative tasks. This position serves as a primary point of contact for internal queries, ensuring efficient and effective resolution of daily operational issues. Key responsibilities include managing courier and shipment services, drafting and proofreading documents, responding to service inquiries, and providing comprehensive support for meetings and events. The role also emphasizes promoting collaboration and teamwork within the Management Services unit, contributing to a positive and productive work environment. This position is crucial for maintaining smooth workflow and ensuring staff are well-supported in their daily operations.
Responsibilities
The role involves providing comprehensive support for routine management services to ensure staff are effectively assisted. Key responsibilities include acting as a primary point of contact for internal queries, facilitating the resolution of daily issues, and serving as the focal point for all courier and shipment services. This entails managing the receiving, documenting, and dispatching of official packages and mail, coordinating with courier companies, tracking consignments, and maintaining accurate logs. The position also requires drafting, formatting, and proofreading various documents, preparing correspondence, and maintaining records for easy access. Additionally, the role involves responding to routine queries regarding facilities, escalating issues when necessary, and providing thorough support for meetings and events, such as scheduling, room preparation, minute-taking, and distribution. Promoting collaboration within the team, supporting the Management Services unit, and contributing to a positive work environment through effective communication are also crucial aspects of this position.
Work Experience
Any prior work experience is considered an advantage. The role requires strong organizational and time management skills, proficiency in Microsoft Office Suite, excellent attention to detail, and strong communication abilities.
