Job Purpose
The Management Services Associate will provide essential financial, administrative, and management support services at the Odesa Field Office. This role is crucial for ensuring the optimal use of resources, compliance with WFP policies, and maintaining high service quality. The incumbent will contribute to informed decision-making through financial analysis and reporting, strengthen internal controls, and drive process improvements to enhance overall operational efficiency. By coordinating integrated support services and leveraging data-driven insights, this position directly supports WFP's mission in Ukraine, ensuring the effective delivery of humanitarian assistance to those affected by the ongoing conflict and its far-reaching consequences.
Responsibilities
The World Food Programme (WFP) is seeking a professional to coordinate and deliver integrated financial, administrative, and management support services at a local office. This role is crucial for ensuring the optimal use of resources, maintaining compliance with WFP policies, and upholding service quality. The position involves contributing to informed decision-making through financial analysis, comprehensive reporting, and robust operational support. Key responsibilities include strengthening internal controls, refining existing processes, and enhancing overall operational efficiency. The incumbent will support the efficient delivery of services by leveraging data-driven insights and digital tools. They will also contribute to the implementation of WFP country plans, aligning administrative processes with broader WFP strategies. This includes mapping administrative business processes, developing and implementing standard operating procedures (SOPs), and conducting complex data analysis for planning and decision-making. The role also entails managing existing resources, estimating future requirements for efficiency and cost-effectiveness, and preparing purchase orders. Furthermore, the position supports procurement processes, administrative tasks for events, processing of financial documents, and managing travel arrangements. Data extraction, report preparation, and budget monitoring are also key duties. The role requires contributing to environmental sustainability initiatives and potentially guiding junior staff. Emergency preparedness and response are integral, ensuring the continuity of financial and administrative services during crises. Adherence to internal controls, risk management, and organizational policies is paramount, along with maintaining accurate records for audits.
Work Experience
A minimum of six years of progressively responsible relevant work experience in Finance or Administration is required. This can be reduced with post-secondary education: three years with a Master's degree, or four years with a Bachelor's degree. Experience in financial management, budgeting, reporting, administrative support, data analysis, and supervising staff is advantageous. Experience in humanitarian or development contexts is also a plus.
