Job Purpose
The Logistics Assistant (Oversight and Business Support) will play a crucial role in enhancing the efficiency and compliance of WFP Haiti's supply chain operations. This position is vital for ensuring that all logistical processes, documentation, and performance tracking are meticulously managed and aligned with WFP's stringent organizational standards and audit requirements. The assistant will support governance, compliance, and performance management by maintaining accurate records, coordinating with various teams, and facilitating systematic follow-up on key supply chain activities. This role is essential for the smooth functioning of the supply chain, contributing directly to WFP's mission of delivering life-saving assistance.
Responsibilities
The Logistics Assistant - Oversight and Business Support role is crucial for strengthening the World Food Programme's (WFP) supply chain operations in Haiti. This position focuses on ensuring effective coordination, meticulous documentation, strict compliance, and diligent performance tracking. Key responsibilities include managing routine administrative and financial tasks, maintaining comprehensive knowledge management systems for supply chain information, and updating staff records, including job descriptions and performance evaluations. The assistant will also manage guidelines and Standard Operating Procedures (SOPs), ensuring they are current and staff are briefed. Furthermore, they will support the preparation and maintenance of the supply chain work plan and risk register, consolidate and proofread various supply chain reports for timely submission, and schedule and document supply chain meetings, ensuring follow-up actions are tracked. The role also involves maintaining delegation of authority lists, monitoring compliance with key requirements like business continuity plans and audit actions, and managing travel and training plans for the supply chain unit. This position requires a secondary school completion, preferably a degree, and over five years of relevant experience in supply chain, logistics, or business management, with strong administrative skills and fluency in English and French.
Work Experience
Requires five or more years of progressively responsible work experience in Supply Chain, Logistics, Procurement, or Business Management. Must also have experience in general administrative work.
