Job Purpose
The Management Services Associate will coordinate and deliver high-quality, client-focused, and value-for-money administration services across various WFP facilities, assets, and light vehicle fleets in Pakistan. This role involves verifying resource requirements, managing essential services like facilities, travel, and protocol, and ensuring a safe working environment. The associate will also support data compilation and reporting for informed decision-making, process administrative actions in procurement, finance, and HR, and contribute to the continuous improvement of administrative processes. Additionally, they will provide guidance and training to staff on administrative procedures and systems, ensuring efficient and consistent service delivery to all stakeholders.
Responsibilities
The Management Services Associate is primarily responsible for coordinating and delivering high-quality, client-focused, and cost-effective administration services. This involves verifying and identifying resource requirements across WFP facilities, assets, and the light vehicle fleet to enhance operational efficiency. Key duties include providing essential services such as facilities management, travel, and protocol, ensuring a safe and comfortable working environment for staff by reporting any service discrepancies promptly. The role also entails supporting the generation of various data and compiling reports, which are crucial for informed decision-making and the effective management of WFP resources. Furthermore, the Associate contributes to the planning, monitoring, and processing of administrative actions related to procurement, finance, human resources, and external vendor contracts. This ensures all data is accurately and timely recorded within WFP corporate systems and that operational issues are addressed. Continuous improvement of administrative services is achieved by adapting and updating processes and supporting the implementation of operating procedures. The Associate also resolves daily administrative queries, coordinates team activities to ensure compliance with regulations and objectives, and provides training and guidance to staff on administrative procedures, policies, and corporate systems to maintain service consistency and efficiency for all clients. Additional related duties may be assigned as needed.
Work Experience
Requires 6 years of progressive work experience in the relevant business field, including administrative work with the UN or other international organizations. Candidates should demonstrate a strong understanding of WFP administrative standards and awareness of international humanitarian development issues. Experience providing guidance to new staff is also necessary.
