Job Purpose
The Senior Procurement Assistant will support the Supply Chain Unit in acquiring goods and services for efficient country office operations. This role involves coordinating timely and quality delivery of goods and services, monitoring procurement procedures and documentation, and developing strategies to mitigate risks in contracting. The assistant will also be responsible for compiling data, preparing reports, managing supplier databases, and ensuring compliance with corporate procurement guidelines. This position plays a crucial part in supporting WFP's mission by ensuring the effective and efficient procurement of essential resources for its operations in Colombia.
Responsibilities
The primary responsibility is to efficiently manage administrative tasks related to procurement of goods and services to support the Country Office's operations. This involves coordinating timely and quality deliveries, ensuring adherence to established corporate procedures and documentation for procurement processes, and maintaining updated delivery records. A key aspect is developing strategies to mitigate risks associated with incorrect contracting procedures and ensuring compliance with corporate guidelines. The role requires collecting and presenting data to support operational activities, including preparing for tenders, evaluating offers, and negotiating contracts, all while applying standard procurement processes. It also entails prioritizing and processing purchase requests, verifying supporting documentation and fund availability, and overseeing the dispatch of purchase orders to ensure timely receipt of goods and services. Maintaining accurate databases, supporting new supplier acquisition, and collaborating with internal stakeholders for procurement harmonization are also crucial. Furthermore, the position involves providing technical support to colleagues, applying emergency preparedness practices for rapid response, and handling administrative duties such as preparing purchase orders and committee minutes to ensure the smooth functioning of the Supply Chain Unit. This includes supporting any other required activities in the acquisition of goods and services, including food, to achieve the timely management of the Supply Chain Unit.
Work Experience
Requires a professional degree in Industrial Engineering, Business Administration, or related fields. Minimum of five years of progressive experience in procurement processes for goods and services. Experience in agricultural procurement, sustainable development projects, supervision and control of non-food item procurement, and food procurement is valued. Proficiency in Word, Excel, and PowerPoint is mandatory. Fluency in Spanish is required, with basic English proficiency being desirable.
