Job Purpose

Responsibilities
The World Food Programme (WFP) seeks an Administrative Assistant (SC4) to support its operations in Port-au-Prince, Haiti. This role is crucial for ensuring the efficient management, control, distribution, and tracking of non-food items (NFIs) and office supplies. Key responsibilities include maintaining accurate inventory records, conducting regular physical stock counts, and initiating timely replenishment requests. The assistant will also support procurement processes by preparing purchase requests, monitoring order status, and verifying deliveries against purchase orders. Furthermore, they will ensure appropriate storage conditions, maintain secure and organized warehouse facilities, and support stock issuance processes with proper documentation. The role involves processing supply requests from various units, ensuring prompt distribution, and maintaining adequate records. Accurate record-keeping, including manual and electronic systems, is essential, along with preparing periodic reports on stock levels and consumption. The Administrative Assistant must ensure compliance with WFP's administrative, financial, and procurement rules, implementing internal controls to prevent losses and reporting any irregularities. General administrative support, including contributing to logistical coordination and maintaining filing systems, is also expected. Work Experience
The role requires a minimum of 4 years of relevant experience in administration, stock management, or logistics. Experience with inventory management systems is desirable, as is prior work with international organizations or NGOs.
