Organizational Context
This position is based in Port-au-Prince, Haiti, reporting to the Head of Operational Risk Management. The incumbent will provide administrative and operational support to the risk management team, contributing to the effective coordination of activities, monitoring of internal processes, and information flow within the unit. At this level, tasks are performed with limited supervision.
Job Purpose
The Business Support Assistant (Security) G4 will provide essential administrative and operational support to the security and risk management unit in Port-au-Prince, Haiti. This role is crucial for ensuring the smooth functioning of the unit by assisting with information gathering, document preparation, and the management of administrative and financial tasks. The incumbent will contribute to the effective coordination of activities, monitor internal processes, and facilitate information flow, ensuring timely and accurate service delivery. Responsibilities include responding to queries, managing standard systems and files, identifying data anomalies, and maintaining data integrity within internal systems. The position also involves providing guidance to less experienced colleagues on common support methods and practices, fostering a consistent and high-quality service delivery aligned with WFP standards. This role supports the broader objective of efficient service provision within a specialized area.
Responsibilities
The primary responsibilities involve providing comprehensive administrative and operational support to specialized teams, ensuring the efficient delivery of services. This includes gathering and organizing information to assist colleagues in document preparation and report writing, as well as responding to inquiries and escalating issues when necessary to maintain reliable service. A key aspect is managing routine administrative and financial tasks across various functional areas to support effective resource management. The role also entails reviewing and proofreading standard documents to ensure accuracy and managing specific systems and files to guarantee data integrity and accessibility. Identifying and reporting simple anomalies in data and statistics, such as missing information, is crucial for supporting service beneficiaries. Work Experience
Requires at least four years of progressive and responsible experience in the relevant field, combined with administrative work experience.
