Job Purpose
The Supply Chain Assistant provides comprehensive operational support to the WFP office in El Salvador, ensuring the efficient and timely execution of procurement, warehouse/inventory management, and routine administrative/financial processes. This role is crucial for maintaining reliable records, data quality, and procedural compliance, while fostering effective coordination with internal clients and external suppliers. The incumbent will support procurement processes, manage warehouse operations including goods receipt and dispatch, maintain accurate records, and contribute to supplier relationship management. Additionally, the role involves assisting with administrative and financial tasks to ensure effective resource management and providing guidance to less experienced colleagues on operational support practices.
Responsibilities
The role of a Supply Chain Assistant involves providing comprehensive operational support to the office, ensuring efficient and timely execution of procurement, warehouse/inventory management, and routine administrative/financial tasks. Key responsibilities include managing the procurement cycle for goods and services, preparing and distributing tender documentation, and maintaining accurate purchasing and supplier records. The assistant will also support supplier development by identifying and classifying new vendors. In warehouse operations, duties encompass receiving and dispatching products, ensuring accurate physical counts and quality verification, preparing and maintaining warehouse documentation for traceability, and conducting daily reconciliations and stock controls. This role also involves monitoring warehouse and product status, optimizing space, and adhering to WFP storage standards. Furthermore, the assistant will provide guidance and training to warehouse staff, handle internal and external inquiries, and ensure data integrity for institutional systems. They will also assist with ordinary administrative and financial tasks to support effective resource management and contribute to continuous improvement in warehouse processes and standards. Collaboration with diverse counterparts, gathering feedback, and ensuring service consistency are also integral to the position.
Work Experience
Requires a minimum of 3 years of experience in procurement and/or logistics, including daily work with suppliers or third parties. Experience in performing analyses and preparing reports is also needed. General knowledge of occupational health and safety in warehouses and experience operating and maintaining forklifts are required. Proficiency in Microsoft Office, especially Excel, is necessary, with a preference for experience with SAP corporate systems or logistics databases.
