Job Purpose

The Fuel Management Assistant (SC4) will be responsible for the accurate collection, validation, and reconciliation of fuel data within WFP's FleetWave system. This role is crucial for ensuring the integrity of fuel management operations in Jeremie, Haiti. The incumbent will meticulously handle daily fuel documentation, including vouchers and delivery notes, ensuring timely data entry into Excel and FleetWave. Key responsibilities include verifying data for accuracy, correcting any discrepancies, and performing monthly reconciliations between system data and physical fuel levels. The assistant will also produce monthly fuel consumption analysis reports, contributing to efficient resource management and supporting audits and inspections by providing necessary digital data. This position plays a vital role in maintaining operational efficiency and accountability in fuel logistics.

Responsibilities

The Fuel Management Assistant plays a crucial role in ensuring the accurate tracking and management of fuel data within the World Food Programme (WFP). This position involves the daily collection and meticulous entry of fuel-related documents, such as withdrawal slips, delivery notes, and transfer vouchers, into WFP's FleetWave system and Excel tools. A key responsibility is the verification and correction of any errors or inconsistencies in the data, comparing entries with photographic evidence and mobile application submissions to maintain data integrity. The assistant is also tasked with the monthly reconciliation of fuel data between the digital systems and physical fuel levels, ensuring accuracy and identifying discrepancies. Furthermore, they are responsible for producing monthly fuel consumption analysis reports, providing essential insights for operational efficiency. This role requires close collaboration with fuel attendants and administrative staff to resolve data issues and support audits. The position also involves managing spare parts inventory, creating job cards, and conducting stock inspections, contributing to the overall smooth operation of vehicle logistics and maintenance. The role demands strong organizational skills, attention to detail, and proficiency in data management software.

Work Experience

Requires at least four years of experience in a role related to fuel management or a similar field. This experience should include monthly data reconciliation and the production of analytical reports.
