Job Purpose
The Business Support Assistant (Programme, Nutrition) will provide specialized administrative and programmatic support to the Nutrition Unit in Port-au-Prince, Haiti. This role is crucial for the effective implementation of WFP's nutrition programs, which aim to combat hunger and malnutrition among vulnerable populations. The incumbent will be responsible for initiating and tracking administrative procedures for partnership creation, program planning, and implementation, including the creation of Micro-Purchase Orders and cash top-up distributions. They will ensure timely follow-up with internal teams and partners to facilitate program activities, manage information systems (WINGS/SAP), and maintain program tracking tools. Additionally, the assistant will support reporting processes by reviewing and analyzing reports from sub-offices, ensuring data quality for operational decision-making, and archiving important program documents. This position requires strong organizational skills, proficiency in Microsoft Excel, and the ability to collaborate effectively with colleagues and external stakeholders to achieve the unit's objectives.
Responsibilities
The Assistant Programme Management Officer (Nutrition) plays a crucial role in supporting the Nutrition Unit's administrative, monitoring, and information management functions to ensure the effective implementation of nutrition programs. Key responsibilities include initiating and tracking administrative procedures for partnership creation within WFP systems, and overseeing administrative steps for program planning and implementation in line with established objectives and WFP procedures. The role involves supporting the creation of Micro-Purchase Orders (MPOs) and managing administrative processes for cash top-up distributions, including the creation of Purchase Requisitions (PRs), Purchase Orders (POs), and Service Entry Sheets (SES). This position requires close follow-up with various teams, sub-offices, and partners to ensure timely actions for program implementation. Additionally, the officer is responsible for encoding all agreements, advances, and payments in the WFP system (WINGS/SAP), maintaining up-to-date program planning and implementation tracking tools, and regularly reviewing reports from sub-offices, conducting summary analyses, and providing feedback to focal points to improve reporting quality and support operational decision-making. Collaboration with internal WFP counterparts is essential for effective activity implementation and monitoring. The role also includes archiving important nutrition program documents and undertaking other tasks as assigned by management.
Work Experience
Requires at least four years of experience with increasing responsibility in invoice processing and fund management, along with administrative work experience.
