Job Purpose
The Human Resources Assistant will provide essential support to the HR unit, ensuring the accurate implementation of WFP's policies and procedures. This role is crucial for facilitating the efficient delivery of strategic, client-centered HR services. The incumbent will assist with general HR inquiries, provide guidance to staff on HR systems and procedures, and act as a liaison with other departments on matters such as payroll and contracts. Key responsibilities include extracting and compiling HR data for reporting, supporting administrative activities for new staff onboarding, maintaining confidential personnel records, and preparing various HR documents. The role also involves utilizing HR management systems for data entry and tracking deadlines, and supporting staff deployment and related administrative tasks to ensure WFP can respond effectively to crises.
Responsibilities
The Human Resources Assistant will support the accurate implementation of WFP policies and procedures, ensuring the efficient delivery of strategic, client-centered HR services. Key responsibilities include providing assistance with general HR inquiries and follow-up actions, offering guidance and training on employment matters to staff, and acting as a liaison with other departments on HR-related issues such as payroll and contracts. The role involves extracting and compiling HR data on recruitment, contractual conditions, entitlements, performance, and training needs to support reporting and analysis. Additionally, the assistant will provide administrative support for various HR activities, maintain confidential personnel files and databases, and prepare necessary HR documents like employment contracts and transfer letters. They will utilize HR management systems to input and update data, track deadlines for contract expirations and other processes, and support staff deployment and related administrative measures. This role is crucial for ensuring timely and accurate HR support, enabling the WFP to respond effectively to humanitarian needs and crises.
Work Experience
Requires a secondary education and 5 years of professional experience in human resources and administrative areas. A university degree in a related field and 1 year of experience with similar responsibilities in UN agencies are desirable. Proficiency in MS Office, knowledge of payroll and contract administration, and recruitment processes are needed. Experience with Workday and intermediate/advanced English are also preferred.
