Organizational Context
This position is based in Caracas and reports to the Procurement Officer. The job holder will independently handle queries and problems with general guidance, using judgment for daily unforeseen issues. Job Purpose
The Asociado de Adquisiciones (Procurement Associate) will provide essential coordination, administrative services, and research to support efficient and effective procurement operations. This role involves identifying and vetting potential suppliers, preparing purchase orders and contracts, and contributing to negotiations to secure the best terms and lowest costs for WFP. The incumbent will resolve issues related to delivered goods, analyze data for reporting, and manage procurement databases. Additionally, they will maintain relationships with internal stakeholders, supervise support staff, and ensure adherence to standard emergency preparedness practices to facilitate rapid response in crisis situations.
Responsibilities
The Procurement Associate (G6) position in Caracas, reporting to the Procurement Officer, is crucial for supporting efficient and effective procurement services within the World Food Programme (WFP). This role involves providing essential coordination, administrative support, and research to facilitate the procurement of goods and services. Key responsibilities include managing operational coordination and administrative tasks for procurement projects, identifying and recommending potential suppliers, and compiling necessary documentation for supplier selection. The associate will review and prioritize purchasing requests, assist requisitioners to ensure cost-effective procurement, and contribute to negotiations with new suppliers under the guidance of a senior officer. Preparing purchase orders and contracts, approving purchases within delegated authority, and resolving issues related to delivered goods are also vital functions. Furthermore, the role requires researching, collecting, and analyzing data for reports, managing and updating procurement databases, and maintaining relationships with internal counterparts to align procurement activities with broader program goals. A significant aspect of the position involves supervising support staff, providing guidance, and ensuring team objectives are met. The associate must also adhere to standard emergency preparedness practices to support rapid WFP responses during crises.
Work Experience
Requires six or more years of progressively responsible work experience in the relevant business stream, including general administrative work. This experience should demonstrate initiative, problem-solving skills, and the ability to adapt and improve processes. contribute to system improvements.
