Job Purpose

The Warehouse Assistant (G4) is responsible for managing the reception and dispatch of goods to maximize warehouse operational quality and minimize losses. This role supports best practices in warehouse management in line with WFP standards and guidelines. Key responsibilities include efficiently receiving and dispatching products, ensuring accurate physical counts and quality, preparing and verifying transport documents, maintaining accurate records, conducting daily warehouse closing reconciliations, and performing stock control. The position also involves inspecting goods, identifying discrepancies, investigating losses, and recommending solutions. Furthermore, the Warehouse Assistant will implement measures to safeguard stock quality, monitor warehouse conditions for efficient space planning, and provide on-the-job guidance and training to other warehouse staff.

Responsibilities

The primary responsibilities of this role revolve around efficient warehouse operations, focusing on the effective receipt and dispatch of products. This includes managing transshipments, ensuring accurate physical counts and quality checks against approved documentation like waybills and delivery notes, and adhering to established standards. A key duty is the preparation, verification, and signing of warehouse and transport documents, maintaining confidential files and accurate transaction records for immediate reporting of product movements. Daily warehouse closing reconciliations and precise stock checks are essential to support internal control systems. The role also involves conducting daily inspections, preparing reports on product quantity and quality, promptly identifying and analyzing discrepancies or damages, investigating stock shortages, and reporting on warehouse losses with recommended solutions for informed decision-making. Furthermore, implementing appropriate measures to safeguard food and non-food products is crucial for quality control, following established WFP procedures and supervisor authorization. This includes monitoring warehouse and product conditions to ensure efficient space planning and organized storage according to WFP standards. Finally, the position requires providing on-the-job guidance and training to warehouse staff to foster their professional development and performance.

Work Experience

Requires 4 years of relevant work experience, including experience with logistics databases for reports, managing food and non-food warehouses, inventory management, and invoice processing.
