Job Purpose

The Logistics Assistant (G5) will implement standard and well-defined supply chain and logistics processes to ensure the effective delivery of goods and services across all modalities. This role supports operations by assisting with timely order and delivery of products, managing vendor activities, and responding to technical queries. The incumbent will contribute to budget monitoring, inventory management, and data quality for accounting of commodities. They will also support operational analysis, pre-assessments, and planning, while processing logistics documentation and resolving operational issues. Furthermore, the role involves compiling data, generating reports, and maintaining accurate information in institutional systems to support informed decision-making, and liaising with internal and external stakeholders.

Responsibilities

The primary responsibility is to provide comprehensive support to logistics operations and activities, ensuring the effective delivery of food assistance to beneficiaries. This involves assisting with timely order fulfillment and product/supply deliveries to authorized partners and destinations. The role also entails supporting vendor management, including tracking and measuring performance, and responding to technical inquiries with a focus on high-quality customer service. Contributions are expected in budget preparation, monitoring, and review for all delivery modalities, adhering to institutional standards. Key duties include monitoring inventory management processes to track trends and account for stock from source to beneficiary, and assisting in managing the quality and integrity of product accounting data. Furthermore, the position supports operational chain analysis, pre-assessments, and operational planning. Responsibilities extend to processing logistics documentation, resolving operational issues, and compiling data for various reports to support informed decision-making. Maintaining contact with stakeholders and providing guidance to other support staff are also crucial aspects of this role.

Work Experience

Requires a minimum of 5 years of relevant work experience. This includes experience with institutional systems for tracking shipments, supply chain information, insurance claims, and food stocks. Additionally, experience in data analysis (products, funds, etc.), report writing, measuring service provider performance using key performance indicators, assisting with contract documentation preparation, and providing technical operational support in institutional systems is necessary.
