Job Purpose
The Business Support Assistant, IT Unit (SC4) will provide essential administrative and coordination support to the TEC Unit, facilitating the effective delivery of digital and data management solutions within the WFP Haiti Country Office. This role is crucial for supporting the identification, mobilization, deployment, implementation, and ongoing support of these solutions. The incumbent will assist in gathering information for reports, responding to service requests, and managing administrative and financial tasks. They will also support procurement activities, asset management, and documentation, ensuring data integrity and efficient service delivery. By maintaining established systems and files, the Assistant ensures information is accurate and accessible, contributing to the overall efficiency of the IT unit and its support to WFP's mission in Haiti.
Responsibilities
The Business Support Assistant (TEC Unit) plays a crucial role in supporting the World Food Programme's operations in Haiti. This position involves executing specific support activities and providing general administrative assistance to the TEC Unit, ensuring the efficient delivery of digital and data management solutions. Key responsibilities include gathering information for reports, responding to client requests promptly, and managing routine administrative and financial tasks. The role also entails supporting procurement activities, asset management, and document review to ensure accuracy and quality. Furthermore, the Assistant will maintain standard systems and files for easy information access, assist project managers with coordination, meeting organization, and report preparation, and ensure data integrity for accurate program information. They will also provide guidance to junior colleagues on support practices and collaborate with various stakeholders to enhance service delivery. This role requires a proactive approach to administrative and coordination tasks within a complex humanitarian context, contributing to the overall effectiveness of WFP's mission in Haiti.
Work Experience
Requires at least four years of experience in general administration or a related field, with one year in a role of increasing responsibility. Demonstrated experience in procurement processes and inventory/record management is also necessary.
