Job Purpose
The Human Resources Assistant will support the direct supervision of the Human Resources Associate, undertaking administrative tasks to implement WFP's HR policies and procedures with a client-service orientation. This role involves proactively managing recruitment processes, including posting vacancies on Workday, identifying filter questions, and tracking progress. The assistant will ensure timely and accurate personnel information is entered into HR systems, create and update physical and digital files for new staff, and maintain confidentiality. Responsibilities also include preparing HR reports and documents, supporting team-building activities, and addressing local staff inquiries regarding HR procedures. The position requires a proactive approach, attention to detail, and the ability to follow up on processes independently, contributing to the efficient functioning of the HR unit.
Responsibilities
The Human Resources Assistant supports managers in recruitment and hiring processes, ensuring compliance with WFP procedures and effective use of the Workday system. Responsibilities include posting vacancies, identifying appropriate screening questions, and monitoring job postings for timely action. The role involves providing up-to-date personnel information for HR systems and creating/maintaining physical and digital files for new staff, ensuring data accessibility and confidentiality. Additionally, the assistant prepares HR reports and documents such as meeting minutes, contract authorizations, and letters, verifying accuracy and meeting deadlines. They also assist in organizing team-building activities and logistics for staff meetings. A key function is addressing local staff inquiries regarding HR policies and procedures with a customer service orientation. The position requires a secondary education completion, with a professional degree in administrative or social sciences being desirable. The role emphasizes proactive support, accurate documentation, and adherence to organizational standards in all HR-related tasks.
Work Experience
Requires a minimum of four years of progressive administrative support experience, specifically in Human Resources. This must include at least three years of experience in managing selection processes.
