Job Purpose

Responsibilities
The Business Support Associate plays a crucial role in ensuring the smooth operation of a management front office, reporting directly to the Country Director and Deputy Country Director. Key responsibilities include coordinating and overseeing the Country Director's activities and daily operations to achieve objectives. This involves responding to, reviewing, and drafting management reports and correspondence, and bringing critical matters to the Director's attention. The Associate ensures effective internal communication from the Country Director to staff, utilizing socio-political insights for strategic positioning. They are responsible for preparing high-quality strategic background documents, talking points, and briefs for the Director's meetings and engagements. Attending interagency, government, and internal meetings, the Associate ensures accurate record-keeping and coordinates follow-up actions. They manage the front office functions, potentially supervising other staff, and handle staff requests and concerns professionally and confidentially. Maintaining strong relationships with internal and external counterparts, including other UN and NGO agencies, is vital for information sharing and coordination. The role also involves organizing travel for the Country Director and contributing to their social media presence and messaging. Strong planning, organizational, interpersonal, and analytical skills are essential, along with the ability to work under pressure and maintain confidentiality and accountability.
Work Experience
Requires at least six years of relevant work experience in administrative support roles within embassies, development organizations, humanitarian agencies, or similar entities.
