Organizational Context
The United Nations Campus in Bonn hosts 27 UN organizations. The Common Services Unit (CSU) provides joint management of premises, safety, security, mailroom, logistics, and conference support, funded by all UN agencies. This role supports the CSU, reporting to the Campus Operations Associate, with a focus on mailroom and logistics operations.
Job Purpose
The Mailroom & Logistics Support Clerk provides essential operational support to the Common Services Unit (CSU) at UN Bonn. The primary focus is on managing mailroom and logistics operations, ensuring efficient handling of incoming and outgoing mail and shipments. The role also contributes to the UN Bonn merchandise shop and offers support for events and conferences as needed. This position is crucial for the smooth functioning of shared services within the UN Campus, supporting multiple agencies and ensuring timely and accurate logistical processes. The clerk will perform physical tasks, maintain records, and assist with reporting to ensure operational efficiency and cost recovery.
Responsibilities
Key responsibilities include managing mailroom and pouch services by receiving, registering, sorting, and distributing mail and shipments, as well as processing outgoing items and maintaining relevant records. The role involves providing logistics and operational support, including the receipt, storage, and movement of goods, assisting with logistics operations and security screening, and operating equipment safely. Physical duties such as lifting, carrying, and moving parcels and equipment are integral. Administrative support includes maintaining logs and tracking systems to aid in cost recovery and reporting. Additionally, the clerk will support the UN Bonn merchandise shop with stock handling and inventory, and provide surge support for events and conferences as required.
Work Experience
A minimum of 4 years of relevant experience is required with a high school diploma, or 1 year with a bachelor's degree. Experience is needed in one of the following areas: Mailroom and Logistics, Administration (finance or office), Sales and Customer Service, or Skilled Trades/manual work. Proficiency in standard software (MS Word, Excel, Outlook) and the ability to perform physical tasks are necessary. Mailroom, logistics, or administration experience is desired.
