Job Purpose

This role serves as a mentor for interns within the UNFPA Burundi Representation office, specifically supporting the "Professional Knowledge Springboard Internship Program." The primary objective is to provide comprehensive guidance and mentorship to interns as they navigate their professional development and career planning within the UN system. The mentor will help interns familiarize themselves with UNFPA's work and the specific tasks related to assisting the Representative's office. This includes offering insights into UN procedures, administrative support, and professional conduct, ensuring interns gain valuable experience and a deeper understanding of the UN environment and UNFPA's mandate.

Responsibilities

The mentor will guide interns in understanding UNFPA Burundi's operations and the specifics of assisting the Representation office. Key duties include supporting the Personal Assistant to the Representative with administrative and secretarial tasks, adhering to UNFPA rules and confidentiality standards. The mentor will assist in organizing and maintaining the Representation's filing system (physical and electronic), managing the Representative's schedule, appointments, and meeting minutes. Responsibilities also extend to supporting travel planning, preparing briefing documents for the Representative's engagements, and drafting/following up on correspondence. Additionally, the mentor will aid in organizing commemorative events, performing general office tasks like printing and scanning, managing document reception and archiving, and supporting internal/external communications. Contributing to reports and meeting summaries, and providing support in other areas as needed are also expected.
