Job Purpose
The Programme Assistant will provide essential secretarial, coordinating, monitoring, and administrative support to the WHO Country Office in Ukraine. This role is crucial for ensuring the smooth operation of health initiatives and the effective implementation of the WHO Ukraine Country Cooperation Strategy. The incumbent will contribute to maintaining the resilience and ongoing reform of Ukraine's health system during wartime and recovery. Key contributions include drafting and managing administrative documents, facilitating communication, organizing travel and activities, and maintaining vital information systems. The position supports the team in achieving strategic health objectives, ensuring access to services, mitigating health risks, and building robust health institutions.
Responsibilities
The Programme Assistant will be responsible for providing comprehensive secretarial, coordinating, monitoring, and administrative support. This includes drafting, revising, scanning, recording, and processing administrative correspondence, reports, and documents. The role involves informing and reminding staff of follow-up dates and deadlines, and supplying supporting materials as needed. The incumbent will make administrative arrangements for country and inter-country activities, including preparing commitment documents for procurement of goods and services, and organizing duty travel. Maintaining filing systems and updating databases with technical and administrative information is also a key duty. Furthermore, the Programme Assistant will guide office procedures, support team members, and perform other related duties as required to ensure efficient operations.
Work Experience
A minimum of 3 years of relevant experience is required, specifically in the secretarial/administrative field. Experience in an international environment, institution, or non-governmental organization is desirable, as is relevant experience within the UN system. Proficiency in standard office software (MS Office) and note-taking is essential. Experience with computerized systems and databases is also required, with training in Oracle-based or other ERP systems being an asset.
