Job Purpose
The UN Volunteer will provide administrative and budget support to the Life Support Section under the direct supervision of the Chief. Key contributions include managing correspondence and filing systems, preparing official documents, and assisting with budget preparation and financial reporting. The role also involves consolidating acquisition plans, processing invoices, monitoring service contracts, and supporting the recruitment of individual contractors. Additionally, the volunteer will maintain staff databases and contribute to capacity development initiatives for national staff and partners, ensuring efficient section operations.
Responsibilities
The UN Volunteer will manage incoming and outgoing mail, maintaining accurate logs and an organized filing system. Responsibilities include preparing correspondence, memos, and emails to support section heads. The role involves assisting in the preparation of the Life Support Section's budget and financial performance reports, as well as consolidating and updating the section’s acquisition plan quarterly. The volunteer will create shopping carts, process invoices, and monitor service contracts for advertisements. Support will be provided for the recruitment of Individual Contractors, including maintaining attendance sheets. The role also entails consolidating electronic performance reviews and contract extensions, and maintaining a database of section staff. A key aspect is contributing to capacity development through coaching and training for national staff and partners. Other related duties as required will also be performed.
Work Experience
Requires at least five years of progressively responsible experience in administration, budget, accounting, or finance. Experience in financial reporting, analysis, cost management, budget monitoring, and performance reporting is essential. Proficiency in MS Excel, Word, and Outlook is required. Experience with SAP modules (financial accounting, reporting, funds management) is an advantage. Previous experience in a UN agency, peacekeeping mission, or field operation is desirable.
