Job Purpose
This role supports the UNFPA Colombia Human Resources unit in standardizing HR processes, specifically focusing on the monthly tracking of staff social security obligations and managing labor certification requests. The volunteer will contribute to maintaining clear, consistent, and auditable documentation, ensuring timely responses to staff certification needs. The assignment aims to uphold regulatory compliance and enhance staff welfare by ensuring prompt attention to social security duties, which are fundamental to transparent and responsible HR management within the office.
Responsibilities
The Online Volunteer will support the UNFPA Colombia Human Resources unit by tracking monthly staff social security obligations and managing labor certifications. Key duties include reviewing monthly social security payment proofs submitted by employees, updating a social security tracking matrix with each person's status, and preparing a monthly report of findings and pending items for the HR team. The volunteer will also generate requested labor certifications weekly using institutional templates and analyze historical files to create a matrix for automating future certifications. Measurable outcomes include monthly social security matrices with accompanying reports, weekly certifications issued on time, and a final matrix for automated certification generation.
Work Experience
Experience in reviewing payment proofs, updating tracking matrices, and generating certifications is desirable. Proficiency in Word and Excel for document management and process standardization is required. A commitment to confidentiality in handling personnel information is essential.
Skills
Excellent institutional writing skills in Spanish, strong attention to detail, advanced proficiency in Word and Excel, experience with document templates and process standardization tools (tracking matrices, filters, validations), and a commitment to confidentiality.
