Organizational Context
The United Nations Development Programme (UNDP) in Ukraine focuses on inclusive growth and sustainable human development, aligning with the 2030 Agenda and SDGs. Since the 2022 escalation of war, UNDP has prioritized early recovery, economic revitalization, and resilience. The Regional and Local Economic Development Programme (RLEDP) specifically aims to enhance community economic resilience through integrated solutions, improving livelihoods and access to decent work for vulnerable groups, and supporting alignment with national recovery and EU integration priorities.
Job Purpose
This UN Volunteer assignment supports the effective implementation of the Regional and Local Economic Development Programme (RLEDP) in Ukraine. The role focuses on providing crucial administrative coordination, grants management support, and operational process assistance. The incumbent will contribute to the programme's objective of fostering inclusive, gender-responsive, and sustainable local economic recovery. This involves supporting activities that improve livelihoods, enhance access to finance and business development services for MSMEs, facilitate job creation, and strengthen the modernization of vocational education and training, all within the context of post-war recovery and EU integration.
Responsibilities
The Grants Management Assistant will provide comprehensive administrative and operational support for grant-related activities under the RLEDP. Key duties include assisting in the preparation, processing, and tracking of grant documentation, agreements, and amendments. The role involves maintaining and updating grants tracking systems and databases, ensuring accurate data and proper filing in line with UNDP policies. The assistant will coordinate workflows between programme, finance, procurement, and operations teams, and facilitate communication with implementing partners and grantees regarding administrative and reporting requirements. Responsibilities also include assisting with tracking grant budgets and expenditures, supporting the consolidation of grant reports, and organizing meetings and events. Additionally, the role entails providing day-to-day administrative support for programme implementation, processing administrative documentation, assisting with procurement-related tasks, and contributing to data quality, compliance, and knowledge management.
Work Experience
A minimum of 7 years of relevant experience is required, including in administration, programme support, finance, or procurement. Experience in supporting grants management, coordinating and monitoring grant programmes, and managing documentation and electronic filing systems is essential. Experience with financial monitoring, budgeting, contract management, and working with implementing partners is also necessary. Familiarity with UN/UNDP operations and ERP systems is considered an asset.
Skills
Key competencies include accountability, adaptability, flexibility, creativity, judgment, decision-making, planning, organizing, professionalism, and self-management. Specific skills required are in administration, programme support, finance, and procurement. Experience in emergency preparedness and crisis response is also noted. Strong oral and written communication, drafting, reporting, and coordination skills are essential, along with accuracy in document preparation and data management.
