Organizational Context

Job Purpose
This role supports UNFPA Pakistan's Country Program Document (CPD) 10, focusing on collaborative efforts with government institutions to build capacity at federal and provincial levels. The Admin & Finance Assistant will play a vital role in the operations team, ensuring the efficient execution of UNFPA initiatives. The position contributes to maintaining accurate financial records, timely expense reporting, managing financial data inputs, providing logistical support, facilitating partner communication, and ensuring the timely submission of reports. The assignment aims to reinforce UNFPA's commitment to sustainable development and improved well-being by supporting the seamless execution of programmatic activities.
Responsibilities
The Admin & Finance Assistant will ensure adherence to UNFPA financial rules and propose internal control improvements under the supervision of the Finance Associate. Key duties include assisting in CO budget management, including formulation, allotment control, expenditure monitoring, and revisions. The role involves supporting program financial performance monitoring with relevant analysis and identifying potential expenditure issues with proposed solutions. Responsibilities extend to reviewing materials related to common services, premises, cost recovery, and security. The assistant will oversee UNFPA asset and facility management, support the implementation of corporate finance systems, and manage travel-related tasks. This includes reconciling travel agent costs, processing payments, following up on timely payments to service providers, maintaining a travel database, reconciling pending obligations, and ensuring all travel files are maintained for audit purposes.
Work Experience
Requires 1 month of experience, with 2 months of relevant experience preferred. Experience in financial reporting, analysis, and administrative/logistics duties is essential. Knowledge of corporate policies, procedures, systems, and tools is beneficial, as is familiarity with population issues and corporate etiquette. Proficiency in current office software applications and excellent minute-taking/writing skills are also required.
