Job Purpose
The Administrative, Operations and Logistics Associate will support the UNDP Yemen Country Office Liaison Office in Amman. This role is crucial for ensuring the smooth delivery of the office's responsibilities by providing essential administrative, operational, and logistical support. The associate will assist with tasks that back up the operational support for the Country Office in Yemen and facilitate the stay of staff rotating or transiting through Amman, including arranging lodging and transportation. This position is key to maintaining efficient office operations and supporting staff mobility.
Responsibilities
The role involves comprehensive administrative support, including organizing senior management meetings, conferences, and retreats; managing hotel reservations and airport pick-ups; maintaining meeting agendas; acting as custodian for office stationery and assets; and reviewing office space invoices. The associate will also manage visa application processes, track staff attendance, and serve as a focal point for security and entry facilitation. Event management support includes providing logistical assistance for conferences and workshops, selecting venues, ensuring equipment availability, and processing related invoices. Financial support includes managing petty cash, processing payments, and following up with the finance office. Procurement support involves cooperating with the procurement unit for office items, obtaining supplier offers, and following up on Long-Term Agreements (LTAS). Finally, the role includes managing dispatch arrangements, preparing documents for dispatch, coordinating pouch materials, and maintaining asset records.
Work Experience
A minimum of three years of relevant experience in operations and logistics is required. Experience working within the UN or other international development organizations is desirable. Proficiency in Microsoft Office Suite, database management, and office technology is essential. The ability to learn new systems, work independently with minimal supervision, manage tight deadlines, and possess sound security awareness is also necessary.
