Job Purpose
This UNV assignment supports the MONUSCO Engineering Section, reporting to the Chief Engineer and BALPP Unit Supervisor. The incumbent will contribute to the effective management of the Engineering Section's budget, including cost estimations, RBB inputs, contract monitoring, and acquisition planning. Additionally, the role supports administrative functions such as drafting correspondence, coordinating with service units, managing staff records, and organizing duty travel, ensuring smooth operational support within a challenging peacekeeping environment.
Responsibilities
The Budget and Admin Assistant will manage finance and budget tasks, including assisting in drafting yearly cost estimates and RBB inputs for the Engineering Section, and monitoring contracts from a budget perspective. Responsibilities include creating and reviewing financial documents like petty cash vouchers and LVA, updating the acquisition plan, forecasting spending, and coordinating vendor evaluations. The role involves monitoring requisitions in Umoja, following up on deliveries and Purchase Orders, and overseeing engineering commercial leases. Administrative duties encompass drafting routine correspondence, scheduling meetings, maintaining administrative files, coordinating with service units, and responding to staff inquiries on procedures and entitlements. The assistant will also manage staff administrative data, assist with duty travel arrangements, oversee vacancy announcement files, and support staff onboarding/separation. Furthermore, the role involves consolidating budget submission data, assisting in budget report preparation, and performing other related administrative duties as directed.
Work Experience
A minimum of three years of relevant work experience is required, with a preference for five years of progressively responsible experience in administration, budget, accounting, or finance. Experience in budget preparation, monitoring, and reporting is essential. Familiarity with SAP modules (Financial Accounting, Funds Management) or UN systems like Umoja is advantageous. Experience in humanitarian, development, or UN field operations is a plus.
