Organizational Context
UN-HABITAT supports the Government of the Democratic Republic of the Congo in implementing programs for sustainable urbanization, community safety, social cohesion, urban resilience, and inclusive local development. This involves close collaboration with public institutions, local authorities, civil society, communities, service providers, and technical/financial partners. The UN-Habitat office in DRC manages a Country Programme Document, focusing on land reform, conflict prevention and management, and strengthening the resilience of populations affected by crises.
Job Purpose
The National UN Volunteer Administrative Assistant will contribute to the efficient management of administrative functions essential for UN-Habitat's programs and projects in the DRC. The role involves supporting administrative coordination, document management, organization of missions and events, and ensuring adherence to UN administrative procedures. This assignment offers a valuable opportunity to gain professional experience within the UN system while contributing to high-impact initiatives that improve living conditions for the population. The volunteer will work closely with program teams, administrative and finance units, implementing partners, and service providers.
Responsibilities
Under the direct supervision of the UN-Habitat Head of Office and close follow-up by the Administrative and Finance Associate, the UN Volunteer will support general administration by preparing and archiving correspondence, maintaining efficient document management systems, and ensuring physical and electronic filing according to UN-Habitat procedures. The role includes organizing administrative aspects of meetings, workshops, training, missions, and official events, preparing related documents, and following up on action points. Support for official missions involves facilitating administrative procedures for travel, preparing mission and travel documents, and tracking mission-related administrative tasks. The volunteer will also assist in managing administrative contracts for consultants, suppliers, and service providers, tracking deadlines, and supporting office resource management by monitoring supplies and participating in equipment management. Additionally, the position involves contributing to periodic administrative reports, collecting data for project reports, and ensuring compliance with UN administrative policies and procedures, while identifying opportunities for process improvement.
Work Experience
Minimum 1 month of required experience, with 1 year of relevant experience preferred. Proficiency in the Microsoft Office Suite (Word, Excel) is essential. Experience with ERP systems (especially UMOJA) and/or accounting software is an asset.
