Job Purpose
This United Nations Volunteers (UNV) assignment supports the Facilities Management and Transport Section (FMTS) at the United Nations Office at Nairobi (UNON). The UN Volunteer will be responsible for coordinating office movements, assisting with space allocation, and managing assets, materials, contracts, and personnel to ensure efficient and cost-effective delivery of services. The role involves liaising with external vendors, ensuring compliance with Occupational Health and Safety standards, and considering gender-specific needs. The UN Volunteer will develop methodologies and tools for plan execution and monitoring, including Standard Operating Procedures (SOPs), contributing to the smooth operation of UNON's facilities and transport services.
Responsibilities
Under the direct supervision of the Chief, Office Space and Assets, the UN Volunteer will be responsible for planning and coordinating office movements. This includes assisting in space allocation and selection, and scheduling regular stakeholder meetings. The role involves managing assets, materials, contracts, and personnel to ensure timely, accountable, and cost-effective delivery of expected results. The UN Volunteer will coordinate and liaise with external vendors, including freight forwarders, to ensure services are delivered according to plans and schedules. A key responsibility is ensuring that all activities adhere to relevant Occupational Health and Safety (OHS) standards and consider gender-specific needs. The UN Volunteer will also develop methodologies and tools for effective plan execution and monitoring, including project-specific Standard Operating Procedures (SOPs), and perform other assigned duties.
Work Experience
A minimum of three years of progressive experience in administration, coordination activities, or project management, such as large-scale events within a commercial or international/national organization, is required. Experience in logistics-related activities or coordinating the movement of goods and personnel is advantageous. Experience in developing complex plans with multiple stakeholders and timelines is desirable. Strong client relationship management skills are an asset.
