Organizational Context
The United Nations Office for Project Services (UNOPS) mission is to help people in need by strengthening the United Nations, governments, and other partners' capacity to deliver infrastructure, procurement, and project management services sustainably and effectively. Job Purpose
The Assistant Procurement Officer will support the Procurement Unit in daily procurement activities, ensuring compliance with UNOPS rules and procedures. This role contributes to the timely delivery of goods, works, and services essential for ongoing projects, aligning with UNOPS' broader objective of enhancing value for money, accountability, and operational efficiency for Tunisia's development priorities. The position offers exposure to procurement planning, solicitation, evaluation, and contract management processes. This volunteer assignment is supported by the Swiss Embassy in Tunisia, aiming to enhance youth inclusion, particularly for young people with disabilities, from 2024 to 2026.
Responsibilities
Under delegated authority and supervision, the Assistant Procurement Officer will provide general support to the procurement unit. Key contributions include:
Assisting in the preparation of standard procurement documents (RFQ, ITB, RFP) and ensuring administrative compliance of procurement files.
Supporting the preparation of bid opening and evaluation documents, and documenting evaluation process steps.
Conducting initial supplier research, gathering basic market study information, and facilitating communication with suppliers for document reception or clarification.
Assisting in preparing purchase orders and draft contracts, updating contractual information under supervision, and tracking administrative aspects of ongoing contractual commitments.
Updating procurement system data (e.g., ERP/OneUNOPS), maintaining procurement and contract tracking tables, and supporting basic monitoring of procurement indicators and deadlines.
Organizing and filing procurement documents (paper and electronic formats) and maintaining a structured, accessible archiving system.
Contributing to the preparation of simple synthesis notes and reports related to procurement activities and providing general administrative support as needed.
Work Experience
A minimum of 1 month of professional experience is required, with 1 year of relevant experience preferred. Experience should be in marketing, procurement, finance, supply chain, business administration, or a related field. Proficiency in AI is required. Experience in the development sector is an asset. Strong written and verbal communication skills, attention to detail, and the ability to work collaboratively in a multicultural environment are essential.
