Job Purpose
This assignment supports the World Health Organization's Meeting and Travel Services (MTS) by ensuring the efficient functioning of travel-related processes. The incumbent will focus on the review and approval of expense reports and travel transactions, verifying accuracy, compliance with policies, and timely processing. Key contributions include identifying and resolving discrepancies, assisting with travel requests and invoice reconciliation, and performing other quality assurance tasks. The role is crucial for maintaining the integrity and efficiency of the MTS system, supporting travelers, and contributing to the overall operational effectiveness of WHO's travel management.
Responsibilities
Under the supervision of the Travel Quality Supervisor, the incumbent will provide operational support to the Travel Quality Specialist (TQS). This includes the primary responsibility of reviewing and approving expense reports and related travel transactions, ensuring they meet WHO travel policies and procedures within established timelines. The role involves verifying the completeness and accuracy of supporting documentation for all claims. The incumbent must identify any discrepancies, missing information, or policy exceptions and communicate necessary corrective actions to travelers or administrative assistants. Additionally, the position will assist in reviewing travel requests and other travel transactions, support invoice reconciliation activities, and perform other assigned travel quality assurance tasks to maintain operational efficiency.
Work Experience
A minimum of three years of relevant experience in administrative, finance, travel, or operational support functions is required. Experience with travel management processes, expense claims, or financial transaction review is desirable. Proficiency in Microsoft Office, particularly Excel, and strong analytical and organizational skills are essential. Experience with ERP systems like SAP and working within the UN system are considered assets.
