Organizational Context
The United Nations Development Programme (UNDP) is the UN's global development network, supporting countries in achieving sustainable development and the Sustainable Development Goals. In Zambia, UNDP partners with the government, particularly the Ministry of Youth, Sport and Arts, to address challenges faced by the predominantly youthful population. This includes initiatives focused on skills development, employment creation, and socio-economic opportunities, with a strong emphasis on inclusion for young women and youth with disabilities.
Job Purpose
This role supports the implementation of the Youth Fellowship Programme in Zambia, a structured initiative designed to provide young graduates with immersive, practical experience in government institutions, the private sector, and UN organizations. The Project Assistant will contribute to deepening fellows' practical experience, enhancing their industry-specific skills, and developing them into young leaders. The position aims to create an enabling environment for improved livelihoods, enhanced skills, and expanded socio-economic opportunities for young people, aligning with national development strategies and the GRZ-UN Joint Programme on Youth.
Responsibilities
The Project Assistant will support the implementation of the Youth Fellowship Programme and related youth and arts initiatives. Key duties include managing documentation for operational and administrative compliance (finance, procurement, travel), maintaining organized files, and monitoring inventory. The role involves supporting the review and preparation of programme documentation and financial proposals, establishing effective records and archiving systems, and providing general administrative support to the programme team. Collaboration with team members, assisting in drafting concept notes, and coordinating programme-related travel and logistics are also essential functions. The Project Assistant will perform other assigned duties as required.
Work Experience
No prior experience is required. However, one year of relevant experience is desirable, particularly in supporting youth programme implementation or similar programmes. Experience within the UN or other international development organizations is considered an asset. Proficiency in Microsoft Office applications, database management, and office technology is expected.
Skills
Core competencies include accountability, adaptability, flexibility, creativity, judgment, decision-making, professionalism, and self-management. Technical skills encompass administration, development programmes, and procurement and contracting. Excellent oral and written communication, drafting, formulation, and reporting skills are essential, along with strong interpersonal skills and the ability to work inclusively and collaboratively.
