Organizational Context
The United Nations Development Programme (UNDP) is the UN's global development network supporting countries in achieving sustainable development and the Sustainable Development Goals. In Zambia, UNDP partners with the Ministry of Youth, Sport and Arts (MYSA) on the GRZ-UN Joint Programme on Youth. This initiative aims to create an enabling environment for youth livelihoods, skills, and socio-economic opportunities, focusing on inclusion. UNDP leads flagship youth employment and empowerment initiatives, building on past successes like the IVAG Programme.
Job Purpose
This Finance Assistant role supports the implementation of the Youth Fellowship Programme and related initiatives under the Ministry of Youth, Sport and Arts (MYSA) in Zambia. The position ensures financial processes adhere to UNDP Standard Operating Procedures, maintaining accurate financial records and managing supporting documents. The role involves preparing financial reports, monitoring fund utilization, and maintaining an efficient filing system. The Finance Assistant will also contribute to expenditure control, assist in preparing programme documentation and budgets, and support the coordination of youth-related event budgets, playing a key role in the effective financial management of youth empowerment programmes.
Responsibilities
The Finance Assistant will support the implementation of the Youth Fellowship Programme and MYSA initiatives. Key duties include ensuring financial processes comply with UNDP SOPs and maintaining accurate financial records. This involves managing supporting documents like invoices and delivery notes, and preparing financial reports for non-development projects while monitoring fund utilization and budget balances. The role requires maintaining an organized filing system for financial records and implementing an internal expenditure control system to ensure accurate transaction recording and proper processing of claims. The Finance Assistant will also provide timely financial status information, address invoice discrepancies, and support the preparation of programme documentation and budgets. Additionally, the role involves supporting the coordination of youth-related event budgets and performing other assigned duties.
Work Experience
No prior experience is required. However, one year of relevant experience in supporting financial management and reporting is desirable. Experience within the UN or other international development organizations is an asset. Proficiency in Microsoft Office applications and database management systems is expected.
