Organizational Context
The World Food Programme (WFP), founded in 1961, is the food assistance agency of the United Nations System. WFP Honduras, as the largest food assistance agency in Honduras, contributes to combating hunger and malnutrition in all its forms, aligning with Sustainable Development Goal 2. It implements programs to strengthen food and nutritional security for vulnerable populations and actively participates in the Country Humanitarian Network, co-leading the food security and nutrition sector.
Job Purpose
The Finance Assistant will provide technical and procedural support to staff in finance and budget areas, ensuring compliance with WFP financial policies and regulations. This role involves monitoring monthly expenditure forecasts and reporting to facilitate informed decision-making. The assistant will also track bank accounts for advances and petty cash, verify payments to vendors, and process other accounts receivable. A key aspect is compiling financial information for reports on budgets, accounting, and statistics, and managing administrative functions related to fixed assets and vehicle/generator expenses.
Responsibilities
The Finance Assistant will support technical and procedural aspects of finance and budget operations, ensuring adherence to WFP financial policies. Key duties include monitoring monthly expenditure forecasts and generating reports for decision-making. The role involves tracking bank accounts for advances and petty cash to ensure sufficient funds and timely disbursements. Verification of vendor payments, advances, and accounts receivable, along with adherence to procurement procedures, is crucial for prompt and compliant payments. The assistant will compile financial data for various reports, extract and validate information from financial systems, and follow up on discrepancies. Administrative tasks include tracking fixed assets and fuel/spare parts expenses. Maintaining web-based records of invoices and payments, and ensuring proper archiving of documents are also required. Monitoring expenses against approved budgets and processing payments to external vendors and other invoices in a timely manner are essential. Finally, the role includes providing guidance and on-the-job training to other support staff.
Work Experience
Requires 3 years of general experience, with at least 3 years focused on collecting and tracking financial data for projects and programs. Experience in evaluating financial health and presenting findings to senior management is necessary. Proficiency in MS Office and other relevant software is expected. Experience with WFP systems or working in the UN/international development sector is advantageous.
