Job Purpose
The Programme Support Senior Associate will provide crucial coordination and administrative support to the RBM (Roll Back Malaria) Partnership's governance mechanisms, including Partner Committees and Working Groups. This role involves servicing meetings, compiling materials, preparing summaries, and tracking action items to ensure the smooth functioning of these governance bodies. The associate will also support partner engagement by maintaining communication channels and updating website content. Additionally, they will assist with logistics for meetings and consultations, manage knowledge repositories, and contribute to continuous improvement initiatives within the governance framework, ensuring effective operational support for malaria-related initiatives.
Responsibilities
Servicing RBM governance mechanisms by organizing and supporting meetings, including preparing agendas, circulating documentation, and compiling materials from teams and leads. Preparing meeting summaries and maintaining action trackers, following up with relevant focal points. Maintaining membership lists, contact databases, and mailing groups. Assisting in the preparation of routine progress updates and reporting inputs related to governance activities. Providing surge/back-up support during Board and committee cycles. Maintaining shared communication channels and functional mailboxes for governance mechanisms. Updating website content related to partnership membership and committee activities. Monitoring applications to join the Partnership. Supporting the coordination of logistics for in-person meetings, workshops, and consultations. Providing administrative and coordination support for governance-related consultations and engagement processes. Maintaining organized electronic records and document repositories. Actively participating in continuous improvement initiatives within the governance framework.
Work Experience
A minimum of three years of relevant experience in project management, administrative management, or related fields is required. Proficiency in collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems is essential. Experience in multicultural environments or UN system organizations in a developing country is desirable. A professional certificate or membership in project management is also desired.
