Organizational Context

Job Purpose
The Associate - Supply will support the UNHCR Multi-Country Office (MCO) in Panama with fleet management and supply chain functions. This role is crucial for ensuring the timely and quality delivery of goods and services essential for UNHCR's operations. The incumbent will assist in planning, sourcing, transport, shipping, customs clearance, and warehousing, maintaining ethical and customer-oriented relations with suppliers and partners. This position contributes directly to UNHCR's mandate of protecting refugees and finding lasting solutions by ensuring operational efficiency and compliance with supply chain rules and procedures.
Responsibilities
The UN Volunteer will support end-to-end supply chain activities in compliance with rules and procedures, ensuring timely and quality delivery of goods and services. Key tasks include assisting in the preparation of plans for relief and non-food items, updating IT systems, and preparing purchase requests. The role involves dispatching purchase orders, following up on deliveries, and monitoring asset/fleet pools in coordination with global management. Responsibilities also include preparing order and disposal forms for fleet and asset cases, producing asset management reports, and identifying/assessing vendor capabilities. Maintaining accurate data in business systems, compiling statistical information for decision-making, and ensuring country operations achieve full compliance with supply regulations are also essential duties.
Work Experience
While no prior experience is required, desirable experience includes database management, working knowledge of ERP systems (especially UNHCR’s CERP Supply Chain Module), and technical knowledge of goods and services procured by UNHCR or other UN agencies. Familiarity with UN and UNHCR financial and procurement rules and regulations is also advantageous. Good interpersonal and negotiation skills are beneficial for dealing with diverse backgrounds.
