Job Purpose

The Procurement Associate provides essential support for procurement and contract administration to UNOPS programs. This role ensures efficient, timely, and quality-driven services, adhering strictly to UNOPS procurement rules, regulations, policies, and strategies. The Associate collaborates effectively with procurement colleagues and diverse stakeholders, including program officers and managers, to achieve results. Operating with minimal supervision, the position is crucial for the smooth functioning of procurement operations and contributes to the successful delivery of UNOPS projects by ensuring compliance and operational excellence.

Responsibilities

The Procurement Associate is responsible for supporting procurement transactions, including executing sustainability steps, ensuring complete submissions to committees, and processing purchase orders and contracts. This includes conducting market research, maintaining supplier databases, and generating status reports for audits. The role also involves assisting with procurement planning, reviewing requisitions, preparing specifications for goods and services, and liaising with vendors to ensure timely delivery. Additionally, the Associate supports bidding processes by preparing shortlists, issuing tender documents, and evaluating bids for contract awards. Contract administration duties include following up on contract signings, obligating funds, disseminating awards, and maintaining contract and supplier records. The role also contributes to knowledge sharing by organizing training and disseminating best practices.

Work Experience

Requires relevant experience in advising on and implementing procurement policies and procedures within international or multinational organizations. This includes managing complex procurement programs and strategies, ensuring compliance, and contributing to operational efficiency in procurement processes.
