Organizational Context

The UNOPS Europe and Central Asia Regional Office (ECR) manages operations across a vast region, supporting sustainable development goals through project implementation, advisory services, and capacity building. The Ukraine and Eastern Europe MCO (UEMCO) specifically focuses on humanitarian needs and recovery in Ukraine, Moldova, and Poland, delivering large-scale infrastructure, energy, housing, education, and mine action projects. This role sits within the Management Office, supporting the MCO Director.

Job Purpose

The Executive Associate provides comprehensive executive, administrative, communication, protocol, and coordination support to the MCO Director, ensuring the efficient functioning of the Management Office. This role is crucial for enabling smooth operations, timely follow-up on decisions and commitments, and fostering strong relationships with internal and external stakeholders. By accurately analyzing and presenting information, the incumbent strengthens office capacity and promotes UNOPS's role as an effective service provider contributing to Ukraine's recovery and development. Proactive initiative is essential for achieving results and ensuring timely delivery of objectives.

Responsibilities

The Executive Associate is responsible for ensuring the effective and efficient functioning of the Management Office by providing administrative support to the MCO Director, managing schedules, organizing meetings, and preparing agendas, minutes, and action summaries. This includes coordinating high-level visits, supporting corporate events, and maintaining effective communication systems. The role also involves serving as the protocol and liaison focal point with the UN Resident Coordinator’s Office and managing access to the Director with sound judgment. Additionally, the incumbent anticipates information needs, manages correspondence, facilitates information flow, and prepares briefing materials. Stakeholder collaboration is key, involving maintaining relationships with key partners, UN agencies, and government ministries, and preparing background documents for officials. The role also contributes to knowledge building and sharing within UNOPS.

Work Experience

A minimum of 6 years of relevant experience in executive support, office administration, or coordination is required. Experience in public relations, communication with senior officials, and knowledge of UN rules and government institutions are desirable.
