Job Purpose
The Operations Senior Associate, under the guidance of the Project Management Support Specialist, is responsible for coordinating the administrative, logistics, and vehicle management operations for the IBN Project. This role ensures efficient and compliant service delivery according to UNOPS rules and policies. The position promotes a quality and results-oriented approach, optimizing the use of office resources for maximum cost-effectiveness. The Senior Associate plays a crucial role in supporting the project's objectives by ensuring smooth operational functioning and adherence to established standards.
Responsibilities
The role involves comprehensive management support, including maintaining work plans, guiding personnel on standard transactions, and ensuring compliance with UNOPS regulations. It includes collaborating on annual work plans, monitoring activities, and proactively resolving operational issues. The position supports contract management, liaises with support units on administrative and financial matters, and manages financial, administrative, and procurement workflows within the OneUNOPS/Enterprise system. Responsibilities extend to compiling data for financial planning and monitoring operational financial indicators. Additionally, the role ensures effective logistics and inventory management for project assets, implements control measures, prepares requisitions, and supervises the issuance and disposal of inventory. Vehicle coordination and management are key, involving optimizing vehicle use, maintaining trackers, preparing reports, overseeing lease agreements, and developing SOPs. The role also supports team coordination for work planning and contributes to knowledge building and sharing by ensuring proper document management and facilitating learning initiatives.
Work Experience
A minimum of 6 years of relevant experience in general administration, logistics, asset management, project management, or operations support services is required with a Secondary School Diploma. Alternatively, 2 years of relevant experience with a First University Degree is acceptable. At least two years of experience in leading, supervising, or coordinating support teams is necessary. Proficiency in computer software and web-based management systems is essential. Experience within the UN system is desirable.
