Organizational Context
The United Nations Office on Drugs and Crime (UNODC) in Brazil works to strengthen statistical and analytical capacities and implement international technical cooperation strategies. Job Purpose
The Project Support Assistant provides essential administrative and office support to project teams, ensuring the efficient execution of projects. This role involves assisting with filing, tracking progress, data entry, logistics, and document formatting under close supervision. The position contributes to the effective planning, implementation, monitoring, and reporting of projects, ensuring alignment with UNOPS rules, regulations, and Standard Operating Procedures. The assistant will also support knowledge management and sharing initiatives, including logistical and administrative support for training and learning activities, and compiling information related to project management to aid in reporting and documentation.
Responsibilities
Provide comprehensive administrative support for project planning, implementation, monitoring, and reporting, adhering to UNOPS rules and SOPs. Track project progress, deliverables, contracts, travel, workshops, and grants, ensuring timely follow-up and proper documentation. Maintain tracking tools and ensure operational and project data are current and properly archived. Participate in team meetings, providing updates on progress, priorities, and coordination needs. Offer logistical and administrative support for project management training and learning events, including scheduling and material distribution. Contribute to knowledge sharing and Communities of Practice, sharing observations from daily tasks. Assist in collecting and compiling project management-related information as requested by supervisors for reporting and documentation purposes.
Work Experience
Required: Relevant experience in project management support or similar areas for individuals without higher education. Demonstrated proficiency in collaboration and productivity tools (e.g., MS Office) and web-based management systems. Desirable: Experience within a UN system organization, proven experience in project support including logistics, procurement, travel, or events, and experience in file management and administrative correspondence.
