Job Purpose
The Project Management Support Senior Assistant provides essential administrative and coordination support to ensure the effective development and lifecycle management of grants, procurement, and administrative processes. This role is crucial for the seamless implementation of projects by assisting in drafting calls for proposals, managing selection processes, and conducting technical and financial monitoring. The incumbent's contributions ensure compliance with organizational standards and facilitate the timely delivery of project objectives, ultimately supporting UNOPS' mission to deliver high-impact solutions and advance sustainable development goals.
Responsibilities
Provide comprehensive administrative and coordination support for project planning, implementation, monitoring, and reporting, adhering to UNOPS rules and SOPs. Track project progress, deliverables, contracts, and grants, ensuring timely follow-up and accurate documentation. Prepare reports, briefing materials, and meeting notes for management and stakeholders, and maintain up-to-date project data. Coordinate logistics for meetings, workshops, and events, including travel, accommodation, and security. Support procurement processes by preparing requisitions, purchase orders, and payment requests, and verify supporting documentation for compliance. Assist in tender reviews, evaluation processes, and contract administration. Provide administrative and logistical support to senior management, including scheduling and travel arrangements. Contribute to knowledge sharing by supporting training sessions and participating in Communities of Practice.
Work Experience
Required experience includes project management or related areas, and demonstrable proficiency in collaboration tools (e.g., MS Office, G-Suite) and web-based management systems. Desirable experience includes working in multicultural environments, UN system organizations, developing countries, or in development/humanitarian contexts.
