Job Purpose
The Senior Procurement Associate provides efficient and timely procurement and contract administration support to UNOPS programs in the Southern Cone. This role emphasizes a quality-focused, client-oriented, and results-driven approach to ensure compliance with UNOPS regulations and strategies. The Associate collaborates with procurement staff and various stakeholders, including program support officers and technical advisors, to facilitate smooth operations. Working with minimal supervision, the incumbent plays a crucial role in supporting the overall objectives of the procurement function within the office, contributing to the successful delivery of projects and initiatives.
Responsibilities
The Senior Procurement Associate is responsible for supporting procurement transactions by integrating sustainability, ensuring complete documentation for purchase orders and contracts, and conducting market research using UN Global Marketplace and other sources. This includes maintaining local vendor databases, generating status reports, and ensuring audit readiness. The role involves collaborating with project teams on procurement planning, reviewing requests, preparing specifications for tenders (RFPs, RFQs, ITBs), and monitoring supplier progress. Responsibilities extend to resolving post-order issues, liaising with logistics for goods receipt, and preparing monthly procurement reports. Additionally, the Associate supports tender processes by preparing shortlists, issuing tender documents, evaluating bids, and organizing Contract and Property Committee meetings. Contract administration includes tracking signatures, committing funds, disseminating award notices, and maintaining contract files and vendor databases. The role also encompasses knowledge management through organizing training and sharing best practices.
Work Experience
Required: Relevant experience in procurement or related fields, and proficiency in collaboration tools (e.g., MS Office, G-Suite) and web-based management systems. Desired: Experience in multicultural environments, UN system organizations, or in development/humanitarian contexts.
