Job Purpose
The Support Services Intern acts as an operational facilitator within UNOPS, ensuring the smooth and error-free execution of administrative, financial, and logistical processes. This role is crucial for maintaining the momentum of office projects by providing essential support to various operational areas. The intern's contribution directly impacts the efficiency and effectiveness of the support services functions, enabling project teams to focus on their core objectives without administrative hindrances. This position is designed to offer practical experience in a dynamic international development environment.
Responsibilities
The Support Services Intern will assist in preparing, implementing, and monitoring controls, processes, and management tools to optimize operations and enhance administrative functions. Responsibilities include supporting administrative and logistical processes for events, ensuring adherence to UNOPS administrative policies, and managing physical and digital files for various departments like administration, procurement, and human resources. The intern will also handle incoming and outgoing correspondence, provide photocopies, maintain internal and external communication, and support vendor-related activities through follow-ups. Temporary administrative coverage for reception and user support may be required. Additional duties involve assisting with payment file administration, validating bank guarantees, processing petty cash reimbursements, and monitoring compliance with regional and local indicators.
Work Experience
No professional experience is required. However, prior internships or volunteer experience in support areas such as finance, administration, human resources, accounting, or logistics is highly valued. Proficiency in Google Workspace and Microsoft Office, particularly spreadsheet basics, and experience with document administration, filing, coding, and information safeguarding are also beneficial.
