Job Purpose
The Procurement Associate provides essential support for procurement and contract administration within UNOPS programs. This role ensures efficient, timely, and quality-driven services, adhering strictly to UNOPS procurement rules, regulations, policies, and strategies. The Associate collaborates with various stakeholders, including program officers, technical advisors, and portfolio managers, to facilitate smooth operations. Working with minimal supervision, the position is crucial for maintaining compliance and achieving results in procurement activities, directly contributing to the successful implementation of UNOPS projects and initiatives across the region.
Responsibilities
The Procurement Associate supports procurement transactions by executing sustainability steps, ensuring complete submissions to committees, and processing purchase orders and contracts. They conduct market research, manage supplier databases, and generate status reports for audits. In planning and sourcing, the Associate collaborates on procurement plans, reviews requisitions, prepares specifications for tenders (RFPs, RFQs, ITBs), and liaises with vendors to ensure timely delivery. They monitor progress, resolve post-order issues, and respond to procurement-related queries. For bidding and tendering, the Associate prepares shortlists, issues tender documents, and assists in evaluating bids and proposals. They also support contract administration by following up on signings, obligating funds, disseminating awards, and maintaining contract records. Additionally, the role contributes to knowledge building by organizing training and sharing best practices.
Work Experience
Relevant experience in procurement or related areas is required. This includes experience in supporting procurement transactions, planning, sourcing, bidding, tendering, and contract administration within an organizational context.
