Job Purpose
The Project Management Specialist provides crucial support to the Regional Director for Latin America and the Caribbean, managing the regional agenda and enhancing decision-making. This role involves identifying key issues, analyzing complex challenges, developing recommendations, and preparing executive-level communications and reports. It also entails coordinating with regional and headquarters stakeholders, analyzing trends and risks, and preparing for and following up on executive meetings. The specialist ensures all activities align with UNOPS policies and standards, contributing to the effective oversight and strategic engagement of the Regional Director's office.
Responsibilities
Key responsibilities include managing stakeholder communications, ensuring country offices, regional teams, and headquarters are informed of priorities and decisions. The role involves maintaining the Regional Director's calendar, coordinating executive meetings, official missions, and travel, and preparing necessary briefing materials. The specialist acts as a liaison for stakeholders, ensuring timely follow-up on commitments and escalating issues as needed. Additionally, responsibilities cover maintaining project files, ensuring accurate data entry into UNOPS systems, monitoring administrative procedures, processing payments, and producing reports. The role also supports knowledge management by contributing to the development of tools, compiling lessons learned, and disseminating best practices.
Work Experience
A minimum of 5 years of professional experience in project management support and reporting is required. Experience with UN/UNOPS rules and procedures in Procurement, Finance, HR Management, and administrative regulations is considered an advantage.
