Organizational Context
The Centro de Estudos sobre Drogas e Desenvolvimento Social Comunitário (CDESC) focuses on evidence-based studies and multidimensional analysis of drug-related issues, promoting sustainable social, economic, and environmental alternatives. UNOPS, as an operational arm of the UN, supports project implementation in peacebuilding, humanitarian aid, and development. This role sits within the Sustainable Development Cluster, supporting UNODC's mandate through HR services.
Job Purpose
The Project Management Assistant, under the supervision of the CDESC Project, is responsible for executing administrative transactions essential for project operations. This includes processing project documentation, managing logistical arrangements, handling procurement requests, and performing reporting tasks. The role ensures all activities are conducted in strict adherence to established rules, regulations, and Standard Operating Procedures (SOPs), operating under routine supervision. The position contributes to the efficient and effective implementation and monitoring of projects, ensuring timely delivery and compliance with organizational guidelines.
Responsibilities
Provide administrative support for project planning, implementation, monitoring, and reporting, adhering to applicable norms and SOPs. Maintain project tracking tools for deliverables, contracts, travel, workshops, and grants. Assist in preparing and formatting reports, briefing materials, presentations, and meeting minutes. Ensure proper filing, storage, and organization of project documentation, both electronic and physical. Participate in team meetings and provide updates on assigned tasks. Support the organization of logistics for meetings, workshops, and events, including travel and accommodation arrangements. Prepare travel authorizations and process related documentation. Liaise with vendors and participants on logistical matters and track routine preparations. Assist in compiling information and conducting basic research for reports and documentation. Contribute to maintaining shared project files and collaboration platforms.
Work Experience
Required: Relevant experience in project management or similar areas. Demonstrated proficiency in collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems. Desirable: Experience in digital cartography, spatial analysis, and geospatial data processing within a GIS environment.
